Privacy policy

This policy explains which personal data MKB Offerte processes when you use our website mkb-offerte.nl and the connected quote tool, why we do that, and what rights you have.

Note: MKB Offerte is a newly incorporated business. Once Dutch Chamber of Commerce registration is complete, we will add our legal entity name, registration number and business address here. In the meantime, please reach out at [email protected].

Who we are

MKB Offerte is an online quote tool for small businesses in the Netherlands.

What data do we process?

  • Login data: your email address. We use magic-link authentication — we do not store passwords.
  • Quote content:the text you submit to generate a quote, including your client's email content, company name, VAT (if supplied) and the quote itself.
  • Your clients' data: name, email and business information you put into a quote. You remain the controller of this data; we act as processor.
  • Payment data: we do not process card or bank data ourselves. Mollie processes payments and only shares a status (success / failure) with us.
  • Usage analytics: anonymous Google Analytics data (pages visited, device, language). No IP storage or profiling.
  • Logs and errors: technical logs on our servers, kept up to 30 days, for stability and security.

Why we process this data

  • To deliver the quote tool (performance of contract).
  • To let you log in and view your quotes.
  • To process payments (legal obligation + performance of contract).
  • To improve and secure the service (legitimate interest).

How long do we keep it?

  • Account data and quotes: as long as your account is active. On deletion we erase everything within 30 days, except invoice data we are legally required to keep for 7 years.
  • Technical logs: up to 30 days.
  • Analytics: aggregated, no personal retention.

Who we share data with

We only share with parties needed to deliver the service. All subprocessors below operate under a data processing agreement and comply with GDPR:

  • Vercel (US / EU region) — application hosting.
  • Neon (EU region) — database hosting for your account and quotes.
  • AhaSend (EU) — magic-link and quote email delivery.
  • Mollie (Netherlands) — payment processing.
  • Anthropic (US) — processes your input to generate quotes via the Claude API. Inputs are not used to train their models.
  • Google Analytics — anonymized visitor statistics.

Cookies

We use two kinds of browser storage:

  • Functional (always active):session cookie to keep you signed in and your language preference (NL or EN). The tool can't function without these.
  • Analytics (only with your consent):Google Analytics measures anonymously how the site is used. These cookies are placed only after you click "Accept analytics" in the banner. You can change your choice later via "Manage cookies" at the bottom of every page.

We do not place third-party tracking or marketing cookies.

Your rights

Under GDPR you have the right to:

  • Access your data.
  • Have inaccurate data corrected.
  • Have your data erased.
  • Object to processing or restrict it.
  • Receive your data in a portable format.
  • File a complaint with the Dutch Data Protection Authority (autoriteitpersoonsgegevens.nl).

Changes

We may update this policy. The "last updated" date at the top shows when. For significant changes, we'll notify you by email.
